Dalton and Carrutherstown Community Council is committed to protecting the privacy of anyone who visits this website or gets in touch with us. This page explains what we collect and what we do with it.

Who we are

We are Dalton and Carrutherstown Community Council, a statutory community council in the Annandale South ward of Dumfries and Galloway. You can reach us at DaltonCarrutherstownCommunityCouncil@outlook.com, or through our Contact page.

Information you give us

If you send us a message through the contact form on this website, or by email, we receive whatever you choose to tell us. That normally means your name, your email address and the content of your message. We use it only to reply to you and, where relevant, to deal with the matter you raised, for example by taking it to a meeting or passing it to Dumfries and Galloway Council.

If you apply for a grant, we keep the details of your application, the decision and any receipts you provide. Our Local Grant Scheme Applications policy requires those records to be kept for seven years so that awards can be audited, and they may be shared with the fund administrators, the Annandale and Nithsdale Community Benefit Company and the Minsca Windfarm Community Fund, if they ask for them.

Meetings and minutes

Our meetings are public and are minuted, and the minutes are published on this website. If you raise something at a meeting it will normally be recorded. We do not publish the names of members of the public in the minutes, but the substance of what was raised will appear there.

Cookies and analytics

This website does not use advertising cookies and we do not run any third party analytics or tracking on it. WordPress, the software the site runs on, may set a cookie if you log in to the site, which applies to editors rather than ordinary visitors. Our web host keeps standard server logs, which include IP addresses, for security and troubleshooting.

Some pages link to other websites, including Facebook, Dumfries and Galloway Council and Ready Scotland. Once you follow a link to another site, that site is responsible for your data, not us.

How long we keep things

Emails and messages are kept for as long as they are needed to deal with the matter and for a reasonable period afterwards. Grant records are kept for seven years, as set out above. Agendas and minutes are a permanent public record.

Your rights

Under UK data protection law you can ask us what information we hold about you, ask us to correct it if it is wrong, and ask us to delete it where we are not required to keep it. Write to us at the email address above and we will respond as quickly as we can. If you are not satisfied with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk.

Changes to this policy

If we add anything to the website that collects more information than this, a mailing list for example, we will update this page first.
